An AI upgrade for process automation: Flowable's governed AI agents, with Aplyca as the implementation partner
Aplyca, a digital innovation firm born in Bogotá with teams in Spain and the United States, is now a Flowable partner in Latin America, with Colombia as its home market. The agreement makes Aplyca a Flowable partner, with the role of implementing, integrating and operating Flowable for organizations in the region. Flowable is a process platform built on open-source engines; its Agentic Case Platform puts AI agents to work inside business processes, with a person signing off where the stakes are high.
That combination is what Aplyca calls agentic business process management, or agentic BPM. It is an upgrade for business process automation: AI agents pursue goals across several steps within boundaries the business defines, and people decide the moments that matter.
Why business process automation needs an AI upgrade
Organizations across the region are asking for the same thing: business process automation that runs with fewer hand-offs, and AI that works inside those processes instead of beside them. Aplyca hears it from universities, banks, energy companies and retailers alike, and most of them are expected to improve operations with the budgets they already have. An AI model on its own does not run a business; it needs the process around it to know what to read, what to decide and when to stop and ask.
That is the shift behind why process orchestration is back on the agenda: the process becomes the place where people, systems and AI agents share one context and one audit trail. The region also has room for a partner that does this work locally. Aplyca is one of the few partners based in Latin America and the only one in Colombia.
Our clients are not asking for another platform. They are asking to run their operations with less friction and to put AI to work where it is safe. Flowable gives us an open-source foundation with a commercial company behind it, and a way to bring AI agents into business processes with the control a regulated organization expects. That is the AI powered process automation we offer in the region.

What Flowable is: open-source process engines and a platform for agentic BPM
Flowable helps organizations coordinate work across people and systems, such as opening an account, processing a claim, reviewing an application, or approving a purchase request. It combines open-source process engines with commercial products for managing these processes.
The company offers two products: the Flowable Case Platform, which helps teams organize and track work, and the Flowable Agentic Case Platform, which adds AI agents that can participate in that work under human control.
Flowable supports both routine tasks and situations that require judgment. It follows established steps where appropriate, lets people adapt when exceptions arise, and keeps a record of who did what. This gives organizations structure and accountability while allowing flexibility in how work gets done.
Flowable implements the Business Process Model and Notation (BPMN), Case Management Model and Notation (CMMN) and Decision Model and Notation (DMN) standards. Aplyca's earlier article on what makes Flowable a BPMN engine covers the engine-level detail.
Flowable's features and capabilities: what agentic AI adds
Flowable helps organizations coordinate tasks, connect systems, manage permissions, and track work. Its Agentic Case Platform builds on that foundation, adding AI agents that can work within defined business rules and approval steps.
For organizations, this brings practical capabilities:
Less manual document handling: AI agents can classify incoming documents and extract information, helping teams reduce repetitive data entry.
Support for deciding what happens next: Agents can assess the information available in a case and recommend or initiate a permitted next step.
Control over AI actions: Organizations can define which information agents may access, what actions they may take, and when a person must review or approve their work.
Visibility into performance and cost: Monitoring helps teams review agent activity, evaluate results, and track AI usage and costs.
These capabilities combine routine automation with AI assistance and human judgment. Their effectiveness depends on how processes, integrations, and controls are designed around the organization’s needs.
Flowable also offers flexibility in how solutions are built and operated. Its commercial platform builds on open-source engines and open standards, supports integration with existing systems, and can run on an organization’s own infrastructure or as a cloud service.
Aplyca as a Flowable partner
Aplyca's part is the work between the platform and a running operation: understanding the business, modeling the process, designing the solution, connecting the systems and data, configuring the agents and the human checkpoints, and running it afterwards.
The disciplines behind it are the ones Aplyca has built its practice on for 20 years. They span process orchestration and automation, API-first integration, cloud-native architecture and DevOps, and AI-enabled development through Aplyca Labs, its innovation unit, combined with fully managed operations. Automation with AI agents is an existing Aplyca service, and Flowable becomes the place those agents run when the work is a governed business process.
Where organizations can put AI-assisted processes to work
Customer onboarding, university admissions, and supplier qualification involve different decisions, deadlines, and responsibilities. The following examples illustrate how Aplyca could use Flowable to connect systems, automate routine steps, and introduce AI assistance with defined human oversight.
Customer onboarding: from application to activation
Onboarding often stalls between teams: a customer submits information, one department checks it, another requests clarification, and someone enters the same details into a separate system.
A Flowable implementation can coordinate that journey through to activation. AI agents can extract information from submitted documents and flag inconsistencies, while integrations connect the process to customer records and verification services. Business rules determine which applications proceed and which require a person’s review.
The goal is a smoother start for the customer, with less repeated data entry and clearer ownership of outstanding tasks. Progress can be measured through time to activation, manual interventions, and application abandonment.
University admissions: coordinating reviews against a deadline
Admissions teams must manage application volumes, program-specific requirements, and decisions involving several departments, all within a fixed academic calendar.
Flowable can track each application’s progress, assign reviews, and trigger reminders as deadlines approach. AI agents can help organize supporting documents and summarize application materials for staff. Admissions teams retain responsibility for evaluating applicants and making admission decisions, with exceptions routed to the appropriate reviewers.
The goal is to help staff manage peak demand and give applicants clearer updates. Useful measures include review turnaround time, incomplete applications, and overdue tasks.
Supplier qualification: keeping approvals and credentials current
Qualifying a supplier involves more than an initial approval. Certificates expire, company details change, and new services may require additional checks. Tracking these obligations across email and spreadsheets makes follow-up difficult.
Flowable can coordinate initial qualification and subsequent renewals, connecting procurement teams with the people responsible for financial, operational, or policy reviews. AI agents can extract dates and other details from supporting documents and highlight missing information. Configured rules trigger renewal requests and route changes for approval.
The goal is an up-to-date view of supplier status and fewer delays caused by expired or incomplete records. Measures can include qualification time, overdue renewals, and manual follow-up effort.
Across energy, retail and education the request sounds the same: too many documents, too many hand-offs, and no clear view of where the process is. Onboarding a customer, admitting a student, accrediting a supplier. An agent that reads what arrived, gathers what is missing and routes the case to the right person is what most teams actually need first, and Flowable lets us build exactly that.

How to start with a Flowable partner
Bring us a process slowed by manual hand-offs, disconnected systems, or repeated document checks. Aplyca can help assess where Flowable fits and identify a practical starting point.
An initial assessment focuses on the current workflow, the systems and data involved, and the decisions that require human approval. From there, we can define a pilot scope with clear success measures, such as faster turnaround, fewer manual steps, or better visibility into pending work.
